License Sharing

CxLink allows the sharing of licenses purchased by a parent organization with its child organizations. A parent organization can share as many licenses as it wants with any of its child organizations.

Once a parent organization's license (owner) has been shared with a child organization, this child organization will become the tenant, and will have the solely usufruct of the license, therefore only the child organization will be able to register and unregister hosts.

When a license is shared with a child organization, the license's contract will still be owned by the parent organization and can claim ownership of any shared license at any time, thus ending the license sharing.

Restricted feature

Only organizations members with owner access role can use this feature. You can find more information about the permissions granted by each role from the Access role permissions section.

License sharing eligibility

  • A license is eligible to be shared with a child organization only if all of the following requirements are met:

    1. The license is not in the Expired state.
    2. The license is not being shared by a parent organization.
    3. The license is not already being shared with a child organization.
  • An already shared license is eligible to be returned to its owner at any time, either by the same owner of the license (claim ownership), or by the current tenant of the license (voluntary return).


License sharing feature availability

The license sharing feature will be available only if one of the following requirements is met:

  • Your current organization has child organizations and at least one license (of the selected service and/or contract) that is eligible to share.
  • Your current organization has at least one shared license (of the selected service and/or contract) with a child organization.
  • Your parent organization has at least one shared license (of the selected service and/or contract) with your current organization.

Sharing a license with a child organization

To share a license with a child organization:

  1. Go to the "Licenses" page (to have all service eligible licenses) or a "Contract Details" page (If you want to filter the licenses to a specific contract) of the service you want to share licenses from.

  2. Click the button "License sharing" located in the top-right corner of the page. If the button is not there, make sure your current organization meets the license sharing feature availability requirements.

    The license sharing dialog will show up.

  3. In the tabs located at the top of the dialog, make sure the selected tab is "Exchange licenses".

  4. Select a child organization from the "License tenant" selector. The "License owner" selector will be disabled with your current organization selected.

  5. In the left panel (where you can see all the licenses eligible to be shared), select the licenses you want to share and click on the "Share" button, located in the footer, at the bottom of the panel, next to the dimensions summary.

    At the bottom of the dialog, you can see an "Exchange summary" alert indicating all the actions involved in the exchange.

  6. To make your exchange effective, click on "Exchange licenses" button and confirm your action from the confirmation dialog.

    A new share request notification will be created for the selected child organization (tenant). This notification will appear in the notifications inbox and the "Exchanges inbox" tab of the child organization owners, and must be reviewed and approved for the exchange to be effective.

    This newly created share request notification will be also listed in the "Exchanges outbox" tab, and you will be able to cancel the notification from there. More information in the Cancelling a sharing notification section.

    Once the request is approved, and therefore shared, the solely usufruct of the license will belong to the selected child organization (tenant), so only the child organization will be able to operate the license.


Returning a license to a parent organization

To return a license shared with your current organization by a parent organization (voluntary return):

  1. Go to the "Licenses" page (to have all service eligible licenses) or a "Contract Details" page (If you want to filter the licenses to a specific contract) of the service you want to return licenses from.

  2. Click the button "License sharing" located in the top-right corner of the page. If the button is not there, make sure your current organization meets the license sharing feature availability requirements.

    The license sharing dialog will show up.

  3. In the tabs located at the top of the dialog, make sure the selected tab is "Exchange licenses".

  4. Select a parent organization from the "License owner" selector, this selector will contain all parent organizations that are currently sharing a license with your current organization. The "License tenant" selector will be disabled with your current organization selected.

  5. In the right panel (where you can see all the licenses shared by the selected parent with your current organization), select the licenses you want to share and click on the "Return" button, located in the footer, at the bottom of the panel, next to the dimensions summary.

  6. Choose to return immediately or not the selected licenses. You can find more information in the Returning licenses immediately section.

    At the bottom of the dialog, you can see an "Exchange summary" alert indicating all the actions involved in the exchange.

  7. To make your exchange effective, click on "Exchange licenses" button and confirm your action from the confirmation dialog.

    If "Return licenses immediately" option was not checked, a new return request notification will be created for the selected parent organization (owner). This notification will appear in the notifications inbox and the "Exchanges inbox" tab of the parent organization owners, and must be reviewed and approved for the exchange to be effective.

    This newly created return request notification will be also listed in the "Exchanges outbox" tab (if "Return licenses immediately" option was not checked), and you will be able to cancel the notification from there. More information in the Cancelling a sharing notification section.

Claiming ownership of a license shared with a child organization

To claim ownership of a license shared with a child organization by your current organization:

  1. Go to the "Licenses" page (to have all service eligible licenses) or a "Contract Details" page (If you want to filter the licenses to a specific contract) of the service you want to return licenses from.

  2. Click the button "License sharing" located in the top-right corner of the page. If the button is not there, make sure your current organization meets the license sharing feature availability requirements.

    The license sharing dialog will show up.

  3. In the tabs located at the top of the dialog, make sure the selected tab is "Exchange licenses".

  4. Select a child organization from the "License tenant" selector. The "License owner" selector will be disabled with your current organization selected.

  5. In the right panel (where you can see all the licenses shared by your current organization with the selected child organization), select the licenses you want to claim ownership and click on the "Return" button, located in the footer, at the bottom of the panel, next to the dimensions summary.

  6. Choose to claim ownership immediately or not the selected licenses ("Return licenses immediately" checkbox). You can find more information in the Returning licenses immediately section.

    At the bottom of the dialog, you can see an "Exchange summary" alert indicating all the actions involved in the exchange.

  7. To make your exchange effective, click on "Exchange licenses" button and confirm your action from the confirmation dialog.

    If "Return licenses immediately" option was not checked, a new return request notification will be created for the selected child organization (tenant). Returning licenses immediately

When returning licenses, between the two transfer panels containing the licenses and the "Exchange summary" banner, you will find the "Return licenses immediately" checkbox.

Return licenses immediately

If this option is not checked (by default), all license returns involved in the exchange will be notified:

  • To the license owner, in case of a return carried out by the child organization (voluntary return).
  • To the license tenant, in case of a return carried out by the parent organization (claim ownership). This notification must be reviewed and approved by one of the recipient organization owners.

On the contrary, if the option is checked, all license returns will be effective immediately and no notification will be sent.

Due to the fact that when a license return is made effective, the hosts of the license are automatically unregistered, this option allows the license tenant to manually unregister hosts and make any necessary changes before accepting the return request notification.


Canceling a sharing notification

Your current organization's approval pending sharing request notifications (share request or return request) will be listed in the "Exchanges outbox" tab. To cancel an approval pending notification:

  1. Go to the "Licenses" page (to have all service eligible licenses) or a "Contract Details" page (If you want to filter the licenses to a specific contract) of the service you want to return licenses from.

  2. Click the button "License sharing" located in the top-right corner of the page. If the button is not there, make sure your current organization meets the license sharing feature availability requirements.

    The license sharing dialog will show up.

  3. In the tabs located at the top of the dialog, make sure the selected tab is "Exchanges outbox". This tab will show the number of pending notifications in your outbox.

  4. Find the notification you want to cancel, click the notification's contextual menu, and select the "Cancel" option.


Organizations with parent shares and child organizations

If your current organization has child organizations and some license meets the license share elegibility requirements (some license is eligible to be shared to a child organization), and a parent organization has some license shared with your current organization, a menu will appear when the "License Sharing" dialog opens, allowing you to choose which action to take:

  • "Manage my license shares": Claim ownership or share licenses with child organizations.
  • "Manage shares with my organization": Return licenses shared by parent organizations.
