Attachments (GOS)

CxLink Documents interacts between the SAP Document Management and Amazon S3 as the storage provider.

Overview

SAP application documents such as Invoice, Purchase Order, Sales Order and so on use common functions such as create attachments, list attachments, show links to an internet address and display associated workflows. The Generic Object Services toolbox provides these functions.


How It Works

During the CxLink Documents configuration, a one-by-one relation between an Amazon S3 Bucket and a Content Repository in the OAC0 transaction will be created. For the attachments, this relation will be attached to the SOFFHIO document class. Once the relation is created, all new attachments will be automatically stored to the proper Amazon S3 bucket.

Configuration

Follow these steps to configure Documents to manage your attachments:

  1. Call transaction /n/LNKAWS/S4MANAGER from your productive client.

  2. Jump into the Buckets Management tab.

  3. Create or Import a new bucket for Attachments management.

  4. Note down the Content Repository ID for the created bucket.

  5. Jump into the Attachment Config tab

    First access

    If this is the first time that you open this configuration tab, you will see the SOFFPHIO document class associated with your current Content Repository or the standard SOFFDB class. GOS Tab

  6. Open the Bucket selector and Choose the bucket where you want to store your attachments.

    Buckets

    If you cannot see any Amazon S3 bucket listed, ensure that you have created or imported an existing bucket into the Buckets Management tab. More information in Buckets Management

  7. (Optional) Select the Access Point to be used for attachments if required. More information in Amazon S3 Access Pointsopen in new window

  8. Save.

  9. Once saved, you will see the SOFFPHIO class attached to the new Content Repository created. GOS Tab

  10. From this moment on, all newly attached documents will be stored directly to the configured Amazon S3 Bucket. You can attach them by using the standard SAP transactions. GOS attachment


Migrating your Attachments

You already have an existing Content Management server (SAP Content Server, Opentext, IBM FileNet...) and you want to migrate its contents to an Amazon S3 Bucket.

Documents will be moved in a one-by-one strategy and an integrity check will be performed each time a document is stored in Amazon S3.

Follow these to migrate your contents to CxLink Documents:

  1. Call transaction SA38 or SE38.

  2. Specify report /LNKAWS/RSIRPIRL_MIGRATION and press F8 or Execute.

  3. In the Convert Contents to Physical Documents report, set the following options:

    • Document Area: Leave blank

    • PHIO Class: SOFFPHIO

    • Target Category: /LNKAWS/AT

    • Source Category: SOFFDB

    • DATUM: Initial and Final date for the documents to be migrated.

    • Test Run:

      • Check if you want to perform a dry-run before you start moving your documents to the new Content Repository.
      • Uncheck for real migration.
    • Delete Source Repository:

      • Check if you want to delete the files in the source Content Repository after they have been successfully migrated.
      • Uncheck if you want to keep the original documents in the source Content Repository (SAP Server will not be able to access them after the migration, but you will be able to access them from your original Content Repository management tools).
  4. Execute (F8) the report in dialog or background (Background processing is recommended if you select to migrate a large number of documents)

  5. Review the output to ensure that all documents have been successfully migrated.

  6. If the migration process finishes with no errors, your documents are now stored in the selected bucket in the cloud.
